A letter is a written message from one party to another containing information. Letters promote the preservation of communication between both parties; they may bring friends or relatives closer together, enrich professional relationships and provide a means of self-expression. Letters contribute to the protection and conservation of literacy.

 ü  Written communication or instrument that affirms existence of a fact or obligation, or grant of a power or right.
 ü  A character representing one or more of the sounds used in speech; any of the symbols of an alphabet.
 ü  A written, typed, or printed communication, especially one sent in an envelope by mail or messenger.

In this topic we will discuss about Letter of Recommendation and Resignation Letter.





1.    Letter of Recommendation
A letter of recommendation is a letter, memorandum, or online form in which a writer (usually a person in a supervisory role) evaluates the skills, work habits, and achievements of an individual applying for a job, for admission to graduate school, or for some other professional position. Also called a letter of reference.

         Letter of Recommendation Template 



        Below is a template for a letter of recommendation. A template can               help you with the layout of your letter. It shows you what information           to include and how to organize your letter.
        While letter templates are great starting points for your own message,           you should always edit a letter to fit your situation. You can also review         samples of recommendation letters to help you write your own.
  • Writer Address

  • Salutation
If you are writing a personal recommendation letter, include a salutation (Dear Dr. Williams, Dear Ms. Miller, etc.). If you are writing a general letter, say "To Whom it May Concern" or simply don't include a salutation.
  • Paragraph 1 – Introduction 
The first paragraph of the recommendation letter explains the purpose of the letter, as well as your connection to the person you are recommending, including how you know them, and for how long.
  • Paragraph 2 – Details 
The second paragraph of the recommendation letter contains specific information on the person you are writing about, including why they are qualified, and what they can contribute. If necessary, use more than one paragraph to provide details.
Include specific examples attesting to the person’s qualifications whenever possible.
  • Paragraph 3 – Summary
This section of the recommendation letter contains a brief summary of why are you are recommending the person. State that you "highly recommend" the person or that you "recommend without reservation" or something similar.
  • Paragraph 4 – Conclusion
The concluding paragraph of the recommendation letter contains an offer to provide more information. You can include a phone number within this paragraph. Another option is to include a phone number and email address in the return address section or signature of the letter.
  • Letter Closing
Finish up your letter with a formal letter closing and your name and title. If you are mailing a hard copy of the letter, include your signature underneath your typed name:

2.  Resignation Letter
        A resignation letter is a short letter formally advising your employer               that you are leaving your job. A resignation letter can help you maintain         a positive relationship with your old employer by leaving with a strong           and positive final impression, while also paving the way for you to                 move on.

  • How to Organize a Resignation Letter

  • Header: A resignation letter should begin with both you and the employer's contact information (name, title, company name, address, phone number, email) followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.
  • Salutation: Address the resignation letter to your manager.


        Use his or her formal title ("Dear Mr./Mrs./Dr. XYZ)
  • Paragraph 1: State that you are resigning and include the date on which your resignation will be effective. Check your contract to see how much notice you are required to give your manager.
  • Paragraph 2: (Optional) If you want, you can say why you are leaving (i.e. you are beginning another job, you are going back to school, you are taking time off), but this is not necessary. If you do choose to say why you are leaving, be positive - focus on where you are going next, not on what you disliked about your current job.
  • Paragraph 3: (Optional) Unless you know you will be completely unavailable, say that you are willing to help with the transition that your leaving will cause.
  • Paragraph 5: (Optional) If you would like a letter of reference from your manager, you can ask for it here.
  • Paragraph 4: (Optional) Thank your manager for the opportunity to work for the company. If you had a particularly good experience, you can go into a bit more detail about what you appreciate about the job (the people you worked with, the projects you worked on, etc).
  • Close: Use a kind but formal signoff, such as "Sincerely" or "Yours Sincerely."
  • Signature: End with your signature, handwritten, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.
